Artwork Policy

Last updated: October 19, 2026

How DECOVINK, a brand of MMX Global Inc., handles the artwork you send us: your responsibilities, what we may refuse, how we prepare and protect your files, and how long we keep them.

This policy applies to artwork submitted with orders and with quotation requests or other inquiries. It works alongside our Order Terms, Returns & Refunds Policy and Privacy Policy.

You must have the right to use the artwork

When you upload or send us a file, you confirm that you own it, or that you hold the licence or permission needed to have it reproduced. That includes logos, team and club marks, brand names, characters, photographs, illustrations and typefaces.

We are a printer and decorator, not the owner of your artwork, and we can’t verify who owns every design. We may ask you for clarification or for supporting documentation, such as a licence or written permission from the rights holder. We may decline an order, or pause it until we receive that information, where your authorization to use the artwork is doubtful.

To the extent permitted by applicable law, you agree to reimburse DECOVINK for reasonable losses and costs, including reasonable legal costs, that we incur because of a third-party claim that artwork you supplied infringes their copyright, trademark or other intellectual property rights. This doesn’t apply to the extent a claim results from DECOVINK’s own negligence or misconduct, or from changes we made to your artwork without your authorization, and it doesn’t limit DECOVINK’s own obligations under applicable law.

Artwork we may refuse

We may refuse artwork that:

  • violates applicable law;
  • infringes copyright, trademarks or other intellectual property rights;
  • promotes hatred or unlawful discrimination;
  • contains credible threats or promotes violence; or
  • contains sexual exploitation imagery.

Ordinary political, religious, artistic and sports-related designs are not refused solely because of their subject matter.

If we refuse artwork on an order, we’ll tell you. If the whole order is refused, we’ll refund the full amount you paid, including any shipping charges. If only some items are refused, we’ll refund the amount you paid for those items. Refunds are made to the original payment method as described in our Returns & Refunds Policy, subject to applicable law.

Resolution and the artwork you supply

Our online ordering tools estimate the effective resolution of image files at the size you choose. When a design is likely to print soft at that size, we show you a warning and, where we can, the largest size at which it should stay sharp. You can resize or replace the file, or continue after confirming that you understand the potential quality limitations. For some file types, such as PDF, resolution can’t always be measured automatically.

You’re responsible for characteristics that are inherent in artwork you supplied or approved, such as:

  • low resolution or pixelation, including where you continued after a resolution warning;
  • the dimensions you selected;
  • spelling or design errors;
  • unwanted backgrounds or transparency problems;
  • the wrong file having been uploaded.

DECOVINK remains responsible for its own verified production errors. If we materially produced something differently from the artwork and order you approved, we treat that as a possible DECOVINK error and assess it under our Returns & Refunds Policy.

Colour

Colours shown on monitors, phones and other screens may differ from printed colours. Printed results can also vary with equipment, materials, the transfer process and application conditions, such as the garment or surface and the heat-press settings used.

Exact colour matching is not guaranteed, unless DECOVINK has expressly agreed to a separate colour-matching arrangement for your order.

How we prepare your files

We may make routine technical adjustments needed for production, such as converting file formats and resizing artwork to the dimensions you selected. We won’t make material changes to your approved design without your authorization.

We don’t manually review or correct every file. If we notice an obvious problem before printing, we may contact you about it. Any check we make is a courtesy: it doesn’t confirm that you hold the rights to the design, that the size suits your garment or product, or that colours will match, and it isn’t a colour proof.

What we do with your files

Your artwork is used to review your request and to produce your order. We don’t sell it or share it except as needed to provide our services or as required by law.

We won’t use your artwork, logos or finished products in advertising, website galleries, social media or other promotional materials without first obtaining your explicit permission. Placing an order or sending us artwork doesn’t give us that permission.

Files are kept in private storage outside the public part of our website. They have no public web address, and only authorized DECOVINK personnel can access them.

How long we keep artwork

Artwork status Retention
Uploaded but never ordered 48 hours
Cancelled or failed order 90 days
Completed order 24 months
Refunded order 12 months
Quotation or inquiry without an order 90 days after the last communication

If a quotation or inquiry becomes an accepted order, the retention period for that order applies instead.

At the end of the applicable period, your artwork files, and the previews and production files we made from them, are deleted. Copies in our system backups may remain until those backups expire under our backup schedule. The written record of your order is kept for accounting and legal purposes. If you expect to reorder, please keep your own copy of your files.

Asking us to delete your artwork sooner

You can ask us to delete your artwork before the end of its retention period by emailing [email protected] with your order or quotation number. We’ll verify the request and delete eligible artwork where possible.

Some files or records may need to be kept for longer, for example while an order is still in progress, to resolve a dispute or claim, or to meet legal obligations or other legitimate requirements. If we can’t delete something you’ve asked us to delete, we’ll tell you why. Backup copies may remain until the applicable backup retention period ends.

Reporting a problem with your order

Please report defective, missing or incorrect items within 7 calendar days after delivery or pickup. Lost or transit-damaged parcels can be reported within 30 calendar days, as set out in our Shipping Policy. See our Returns & Refunds Policy for how to submit a claim.

These reporting periods don’t limit any rights you have under applicable law.

Your legal rights

Nothing in this policy limits or excludes any rights or remedies you have under applicable consumer protection or privacy laws that can’t be limited or excluded.
