Who we are

DECOVINK is a brand of MMX Global Inc. (“DECOVINK”, “we”, “us”), a company based in Ontario, Canada. MMX Global Inc. is responsible for personal information collected through this website and in the course of our business.

We have designated a Privacy Officer to oversee our privacy practices, respond to privacy inquiries and manage requests about personal information. You can reach our Privacy Officer at [email protected] or 416-619-0786.

What we collect, and why

We collect what you choose to send us through our forms and, where online ordering is available, the information needed to process and fulfil your order, plus limited technical information needed to run the website safely.

General contact inquiries

Your name, email address, and optionally your phone number and company or organization, the type of inquiry and your message. We use this to reply to you.

DTF and UV DTF quote requests

Your name, email address, and optionally your phone number and business name; the service you are asking about; approximate quantities and dimensions; a description of the project and any notes; and, if you choose to attach it, an artwork file. We use this to review your project and prepare a quote.

Custom apparel and team quotes

Your organization’s name and type, your name, email address and, if supplied, phone number and location; details of the project such as garments, decoration, quantities, sizes, personalization and the date you need it by; and any artwork files you attach. We use this to prepare a quote.

Embroidery and patch quotes

Your name, email address and, if supplied, organization, phone number and location; details of the items, designs, quantities and timing; and any artwork files you attach. We use this to prepare a quote.

Wholesale, trade and partnership inquiries

Your name, organization, business email, and optionally phone number, website or social media address and location; your organization type, the services you are interested in, expected requirements, and what you tell us about your business; and an optional supporting file. We use this to assess and respond to your inquiry. Submitting an inquiry does not create a trade account.

Online orders

Where online ordering is available, we collect your name, email address, phone number, billing and shipping addresses, the products and options you select, any artwork or files you provide for your order, and your order history. If you create an account, we also keep your account details. We use this to process, produce, ship and support your order, to send you order-related messages, and to keep business and accounting records. Payment information is handled as described under “Payment processing — Stripe and PayPal” below.

Employment applications

When you apply for an opportunity with us, we may collect your name and contact details, résumé, employment history, qualifications and any other information you choose to submit. We use this to evaluate applications, communicate with candidates and administer recruitment. Access to employment applications is restricted to personnel specifically authorized to take part in recruitment, and applicant information is not used for marketing.

Artwork and other files

Artwork and documents you upload, such as logos, photographs, team names or player rosters, may contain personal information. We handle them with the same protections as the rest of your submission and use them only to review and respond to your request or to produce your order. Questions of ownership and permission to reproduce artwork are covered in our Terms of Use.

Technical information

To protect our forms from spam and abuse, we store a one-way scrambled (hashed) value derived from your internet (IP) address, not the address itself, and limit how many submissions can be made in an hour. Our hosting provider keeps standard web server logs.

The website uses cookies and similar technologies (such as your browser’s local storage) for the following purposes:

  • Cart and checkout. Our online store software uses cookies and browser storage to keep your cart and checkout working.
  • Order attribution. Our online store software (WooCommerce) sets cookies on each page you visit that record how you arrived at our website, such as the referring website, search engine or campaign link, the page you first landed on, the number of visits and your type of device and browser. If you place an order, this information is saved with the order so we can understand which channels bring us customers. These cookies may remain in your browser for up to six months.
  • Payments and fraud prevention. Our payment processor, Stripe, sets cookies on pages where payment features appear, such as the cart and checkout, to process payments securely and help detect and prevent fraud. See “Payment processing — Stripe and PayPal” below.
  • Website statistics and security. Cloudflare, our security and content delivery provider, collects visit and performance statistics, such as pages viewed, referring website, and browser and device type, without setting cookies, and may use security cookies to protect the website from abuse.

We do not use cookies for advertising, and we do not use them to track you across other websites. You can block or delete cookies in your browser settings; if you do, the cart, checkout or payment features may not work. If our use of cookies changes, we will update this policy and ask for consent where required.

Consent

When you submit a form, we use your information to review and respond to your inquiry or quotation request, as described in this policy. Our forms ask you to acknowledge this before submitting. When you place an order, we use your information to process, fulfil and support that order, including sharing the necessary information with our payment processor. Submitting a form or placing an order does not subscribe you to marketing emails; any marketing communication requires your separate, optional consent.

How we store and protect your information

  • Form submissions and order records are stored in our website’s database with our hosting provider.
  • Files you upload are checked by their content, renamed, and kept in private storage outside the public part of the website. They have no public web address and are never published.
  • Only authorized DECOVINK personnel can view submissions, orders or download files, and access to employment applications is further restricted.
  • Our forms use security checks against automated and forged submissions, and the website is served over an encrypted (HTTPS) connection.
  • Card details are entered in secure payment fields provided by our payment processor and are sent directly to that processor; we do not intentionally collect or store complete card numbers or security codes (CVV/CVC) on our systems.

Our hosting and technology providers may have technical access to the systems that store information, in order to provide their services.

Email notifications

When a form is submitted, an automated notice is sent to our business inbox so the request can be reviewed. For custom apparel quotes, the notice includes the reference number, organization name, and the contact’s name and email address; for embroidery quotes, the reference number and the contact’s name and email address. For other inquiries, it includes only the reference number and a link to the website’s administration area. Where online ordering is available, order confirmations and updates are emailed to you and to our business inbox, and include the order details needed to process the order.

Payment processing — Stripe and PayPal

Where online payment is available on this website, payments are processed by Stripe. Our website is also connected to a PayPal business account, but PayPal is not currently offered as a payment option at checkout. Because PayPal’s payment software is installed on our website, PayPal’s scripts may load on our cart and checkout pages, and PayPal may then receive technical information such as your IP address and browser details. If we offer PayPal as a payment option in the future, this section will also apply to PayPal payments.

Information shared with payment processors

To process a payment, prevent fraud and meet legal obligations, the payment processor you use may receive:

  • your name, email address and phone number;
  • your billing address and, where needed, your shipping address;
  • the order number, amount, currency and a description of the purchase;
  • your payment details, such as card information or the account you pay with; and
  • technical information about the device and connection used, such as IP address and browser details, used to secure the payment and help prevent fraud.

Through Stripe, we may offer payment by credit or debit card, digital wallets such as Apple Pay and Google Pay, Stripe’s Link service, and pay-later options such as Klarna and Affirm, depending on your device, location and order. If you use a digital wallet, Link or a pay-later option, the information you provide is also handled by the provider of that service (such as Apple, Google, Stripe’s Link service, Klarna or Affirm) under its own terms and privacy policy. Pay-later providers may ask you for additional information, such as to check your eligibility.

Card information and saved payment methods

Card details are entered in secure payment fields provided by Stripe and transmitted directly to Stripe. DECOVINK does not intentionally collect or store complete credit card numbers or card security codes (CVV/CVC) on its systems.

If you have an account with us and choose to save a payment method for future purchases, the payment details are stored by Stripe. We keep only a reference to the saved payment method, together with limited details such as the card brand, the last four digits and the expiry date, so you can recognize and manage it. You can remove a saved payment method from your account at any time.

Payment records we keep

For each payment, we keep a record of the order and the transaction, such as the amount, date, payment status, payment method type and the transaction and customer reference numbers issued by the payment processor. We use these records to confirm payments, process refunds, handle disputes, prevent fraud, and keep the business and accounting records required by law.

Payment processors’ own privacy practices

Stripe and PayPal handle the information they receive in accordance with their own privacy policies and may use it for their own purposes, such as verifying identity, preventing fraud and meeting their legal and regulatory obligations. We encourage you to review their policies:

Processing outside Canada

Payment processors may store and process payment information outside Canada, including in the United States and other countries, where it may be subject to the laws of those jurisdictions, including lawful access by courts, law enforcement and national security authorities.

Payment cookies and fraud prevention

To process payments securely and help detect and prevent fraud, payment processors may use cookies and similar technologies on pages where payment features appear, such as the cart and checkout pages. These are necessary for online payment to work.

Refunds and disputes

If you request a refund or dispute a payment, we and the payment processor may use and share the information needed to process the refund or resolve the dispute, such as order details, payment records and our communications with you, including with your card issuer or financial institution where needed.

Service providers and processing outside Canada

We do not sell personal information. We use third-party providers to operate our website, protect our systems, process payments and communicate with you:

  • Hostinger for website hosting and database storage. Our website server is located in the United States.
  • Cloudflare for website security, domain name service, content delivery and website statistics.
  • Google Workspace for business email and communications. Our website sends its emails through our Google Workspace account.
  • Stripe for online payment processing, where online payment is available, including card, digital wallet, Link and pay-later payments made through Stripe.
  • PayPal for online payment processing, if and when we offer it as a payment option.

Personal information may therefore be stored or processed outside Canada, including in the United States, where it may be subject to the laws of that jurisdiction. We take reasonable contractual, organizational and technical measures to protect personal information handled by our service providers.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, to meet legal obligations, to resolve disputes and to maintain appropriate business records. Retention periods depend on the type of information and the nature of the business relationship. When information is no longer required, we securely delete, anonymize or otherwise dispose of it in accordance with our documented retention procedures, subject to legal holds and record-keeping requirements.

Our current retention schedule is:

  • General contact inquiries, and DTF and UV DTF inquiries: 12 months after the last meaningful activity.
  • Custom apparel and embroidery quotations, and wholesale and partnership inquiries: 24 months after the last meaningful activity.
  • Artwork uploaded through our online ordering tools but never ordered: 48 hours.
  • Artwork submitted with a quotation or inquiry that doesn’t become an order: 90 days after the last communication.
  • Artwork for orders: 90 days for a cancelled or failed order, 12 months for a refunded order and 24 months for a completed order, as set out in our Artwork Policy. Some files may be kept longer, for example while an order is still in progress, to resolve a dispute or claim, or to meet legal obligations.
  • Unsuccessful employment applications: about 6 months after the recruitment process ends.
  • Accepted quotations, orders, payment and transaction records, and related accounting records: generally at least six years, or longer where the law requires or where needed to resolve a refund, chargeback or dispute.
  • Saved payment method references: until you remove the payment method or close your account, unless we need to keep them longer for a legal reason.

Payment processors keep their own records in accordance with their own policies and legal obligations.

Your choices and rights

You may ask for access to the personal information we hold about you, ask us to correct inaccurate information, withdraw your consent, or ask us to delete your information where applicable law permits. Withdrawing consent may mean we cannot respond to your inquiry, complete your order or continue considering your application.

To make a request, contact our Privacy Officer at [email protected]. We may ask for information reasonably necessary to verify your identity and authority. We respond within the time limits required by applicable privacy law, generally within 30 calendar days, subject to extensions the law permits, in which case we will tell you. Access is generally provided free of charge or at minimal cost, and we will tell you of any cost in advance. Some information may be kept where the law requires or permits it, such as order, payment and accounting records. For information held by Stripe or PayPal, you may also contact them directly.

If you live in Quebec, you may have additional rights under Quebec law; contact us and we will respond in accordance with the requirements that apply.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Newsletter and marketing emails

We may in future offer an optional email newsletter with company news, product information and promotions. Where required, we will obtain your consent before sending marketing emails, keep a record of that consent, and include an unsubscribe option in every marketing email. You can withdraw your consent at any time using that option or by contacting [email protected].

Privacy incidents

If a breach of security safeguards involving personal information creates a real risk of significant harm, we will notify the people affected and the Office of the Privacy Commissioner of Canada as required by law, and we keep records of privacy incidents.

Changes to this policy

We may update this policy to reflect changes in our operations, services, technology or legal requirements. The updated version will be published on this website with its revised date. Where the law requires, we will give additional notice or obtain consent.
